This policy explains what personal information Wander Tropics collects when you visit this website, ask us for a quote or travel with us, why we collect it, who we share it with and the choices you have. We only collect what we need to plan and run your trip, and we never sell your personal information.

1. Who We Are

Wander Tropics is a brand of Digital Tourism (Pvt) Ltd, a company incorporated in Sri Lanka, with its office at No. 46 Lauries Road, Colombo 04, Sri Lanka. In this policy, "we", "us" and "our" mean Digital Tourism (Pvt) Ltd trading as Wander Tropics. We are responsible (the "controller") for the personal information described here.

By using this website or giving us your information, you agree to it being used as described in this policy.

2. Information We Collect

Information you give us

• Enquiries and quote requests: your name, email address, phone number, country or nationality, the number of adults and children travelling (and the children's age group), your accommodation preference, the package you're interested in and anything you write in your message.
• Bookings: the names of everyone travelling, passport details and dates of birth where hotels, resorts or authorities require them, arrival and departure flight details, and your payment records.
• Special requirements: if you choose to tell us about dietary needs, allergies, medical conditions, mobility or accessibility needs, we use this only to arrange suitable services for your trip. This is sensitive information, so we only use it with your permission and share it only with the suppliers who need it.
• Messages: what you send us by email, phone, WhatsApp or social media before, during and after your trip, including feedback and complaints.

If you give us details about other people in your group, including children, please make sure they (or their parent or guardian) are happy for you to do so and have seen this policy.

Information collected automatically

• Website usage: pages visited, time on site, the site you came from, approximate location (from your IP address), and device and browser type. This is collected through cookies and similar technologies (see section 8).
• Technical logs: our hosting provider keeps standard server logs, including IP addresses, to keep the website secure and working.

We don't collect card details or bank logins on this website. Deposits are paid by bank transfer, and we only keep the payment records we need for our accounts.

3. How and Why We Use Your Information

• To answer your enquiry and prepare quotes and itineraries.
• To book and run your trip: reserving hotels, resorts, drivers, guides and transfers, keeping in touch while you travel and helping if something goes wrong.
• To meet our legal obligations, such as keeping accounting and tax records and providing guest details that hotels and authorities are required to collect.
• To run and improve our business and website, keep them secure, understand which pages and packages are useful, and handle complaints or legal claims.
• To measure and improve our advertising through Google Analytics and Google Ads (see section 8).
• To send you travel ideas and offers, but only if you've agreed, or if you've travelled with us before and haven't opted out. Every marketing email includes a way to unsubscribe, and you can ask us to stop at any time.
• To arrange for special requirements, as described above, with your explicit permission.

4. Who We Share It With

We share only what each party needs:

• Travel suppliers who deliver your trip: hotels and resorts, drivers and guides, boat, seaplane and airport transfer operators, and activity providers in Sri Lanka and the Maldives.
• Service providers who help us run the business, such as the companies that host our website (Vercel), our email and customer records, and our accountants and professional advisers. They may only use your information to provide their services to us.
• Google, which stores the enquiries you send through our website forms (Google Sheets and Gmail), and provides analytics and advertising (Google Analytics, Google Ads and Google Tag Manager).
• Jotform, which provides the review widgets on our Testimonials page. When you open that page, your browser loads the widgets from Jotform, which receives your IP address and browser details.
• Messaging platforms such as WhatsApp, if you choose to contact us that way.
• Authorities, courts or professional advisers, where the law requires it or to protect our rights, your safety or the safety of others.
• A buyer or successor, if our business or part of it is ever sold or reorganised, with the same protections in place.

Suppliers and third-party services handle your information under their own privacy policies, and we're not responsible for how they use it.

5. International Transfers

We're based in Sri Lanka, your trip takes place in Sri Lanka and/or the Maldives, and some of our service providers (including Google, Vercel and Jotform) process data in other countries such as the United States. By using our website or booking with us, you agree that your information may be transferred to and handled in these countries, which may have different data protection rules from your own.

6. How Long We Keep It

• Enquiries that don't lead to a booking: up to 2 years after our last contact, so we can pick up where we left off if you come back to us.
• Booking and payment records: up to 7 years after your trip, to meet accounting and tax rules and to deal with any claims.
• Special requirements: deleted once your trip and any follow-up are complete, unless we need it for a claim.
• Marketing preferences: until you unsubscribe, after which we keep a note so we don't contact you again.
• Analytics data: kept by Google in line with our account settings.

7. Keeping It Safe

We use reasonable technical and organisational measures to protect your information, including encrypted (HTTPS) connections to this website, limiting access to the staff and suppliers who need it, and using reputable service providers. However, no website, transmission or storage system is completely secure, and we can't guarantee the security of information you send us. You send it at your own risk, so please don't send passport scans or other sensitive documents unless we ask for them.

8. Cookies and Similar Technologies

Cookies are small files stored on your device. We use:

• Google Analytics (cookies such as _ga and _ga_*, kept for up to 2 years) to understand how visitors use the site.
• Google Ads and Google Tag Manager (cookies such as _gcl_au, kept for around 3 months, plus cookies Google sets on its own domains) to measure whether our ads lead to enquiries and to show relevant ads.
• Browser storage for small settings that make the site work. These aren't used to track you.

This site also loads fonts, icons and review widgets from third parties (Google Fonts, cdnjs, jsDelivr and Jotform). They receive your IP address so they can deliver these files to your browser.

You can block or delete cookies in your browser settings. You can also opt out of Google Analytics at tools.google.com/dlpage/gaoptout and of personalised Google ads at adssettings.google.com. The site still works without these cookies.

9. Your Rights

You can ask us to:

• give you a copy of the personal information we hold about you;
• correct information that's wrong or incomplete;
• delete your information, where we no longer need to keep it;
• stop sending you marketing messages;
• stop using information you gave us with your permission (this doesn't affect anything we did before).

Email info@wandertropics.com with your request. We'll need to confirm your identity first, and we'll respond within a reasonable time. We may keep information where we need it for our records, tax purposes or legal claims, or where the law allows us to.

If you have a concern about how we've handled your information, please contact us so we can look into it and put it right.

10. Children

This website isn't aimed at children, and we don't knowingly collect information directly from anyone under 18. We only hold children's details when a parent or guardian gives them to us to book a family trip.

11. Links to Other Websites

Our site links to other websites, such as TripAdvisor, Google, Instagram and official travel information sites. We're not responsible for their content or how they handle personal information.

12. Changes to This Policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated. Continuing to use our website or services after a change means you accept the updated policy.
